Ideas for Dark Tides and things to discuss at the planning meeting.
Dark Tides
July 23-25, 2010
Registration:
On a website where you can fill out the waiver before the event and just have to sign in at Troll.
Pre-reg with paypal to be able to pay online.
Under 18 require notarized waivers per Dagorhir laws, unless guardian is attending with said person.
Only 16 and older can fight and be marked as combatants(coms)
Under 16 allowed in with guardian and will be marked non-combatants(non-coms)
Trying to keep registration price to $10 for the weekend.
Children will be at a cheaper rate, probably only $2 each just to cover feast costs. Something like under 12, $2 each. Under 6, free.
Rough schedule of Events:

12-3PM: Setup on camps, greeting time, non-fighting time on paths
3PM: Informal weapons check so people can ask questions and get weapons checked if they are not sure they will pass.

5PM: Tournaments will begin(we will see what listing we can get on these)
7PM: Break for dinner, etc.
8PM: Night battles(we will see who will run these)
9PM: Slave auction and Party(night battles will probably still be going on.)

Rules for fighting:
1. Rules will be the standard Dagorhir rules and because of the nature of this event, it is mostly based on honor. Should someone be abusing their honor(IE: Rhinohiding), please report it to a coordinator and they will be dealt with accordingly(remember, an evil character is running this event).
1b. If you do not know Dagorhir rules by yourself, please learn them well before the event. If you should be in question as to whether a hit is good or whether its a death, be honorable and take the more sever(IE: take a limb if in question, die if you're not sure). It garners more respect, believe me.
2. Fighting is allowed in all parts of the camp EXCEPT:
-Within 20 feet of the bathrooms: Do not abuse this rule or I will open the door to allow people to kill you while you are there.
-Inside individual camps: We don't need to break tents.
-At the tavern(shelterhouse): I will have bouncers that will be paid to keep you from being stupid. Don't poke the bear.
-Within 20 feet of the beach: No need to get weapons wet, they hit way too hard and break down way too easy.
-The parking lot: Duh.
3. You can fight everywhere else, this means paths on the way to any of these places, right outside campsites, on the field, etc.
3b. The only people who you cannot attack anywhere are non-coms who will have headbands to be clearly marked so you know you cannot fight them. Anyone caught attacking a non-com on purpose will be kicked out of this event and no, I will not refund your entry fee.
4. The way to "win" the weekend is to collect the most coins over the course of it. Ways to collect coins include:
-Selling information: As a non-com, you will be given 5 hints, never knowing which are true or false out of character, but in character you will believe them all to be true. You can sell this information to others for coins. These hints will lead people to finding the storyline items which will be hidden in the event.
-Looting a dead body: Should you come across a dead body that has not yet been looted(whether you killed them or someone else did), you can walk up to them and say '"looting". The dead body will then count to 5. If you are not interrupted in that time, you may loot one coin off this person. If you are interrupted, but still able to go back to the body, you may do so again until the person makes it back to their camp and is rezzed.
-Selling your services as a mercenary: Maybe someone needs to be assassinated, maybe they want your help in stealing a banner, maybe they just want you to go collect firewood, whatever it is, you can sell yourself.
-The Slave auction: Capture a slave, sell them, repeat.
-Betting/Gambling: On tournaments, on who can drink more, on whatever you feel like.
-Finding it: People drop money all the time... and some of them mean to hide it.(Note: The standard, no being allowed in a tent unless invited is STILL in play, you cannot STEAL, only find.)
-You name it: The sky is the limit. Figure out how you want to get it.
4b. So you won, you're one of the top 5 coin holders, what now? Fabulous prizes! We're still figuring on the listing, but what you could win will range from weapons making materials, a finished PD weapon, armor, garb, feastware, etc.
5. Tournaments: The prizes for each tournament will be "followers" or rezes that will be awarded to your team(I will explain how rezes work in a second). Since you will have more rezzes, you can sell your services for a higher amount to the two teams if you choose. There may also be a belt sash won. Tournaments are to be "in character". Would your character cheat? Do it. (Cheating in this instance does not mean rhinohiding.. it means holding onto a dagger when its a red fight or having a friend throw a rock at the other competitor.)
6. Field battles: These are a little more complicated, but hopefully not too hard to grasp.
6a. The field battles will almost exclusively be side on side. Each side will elect a strategist for themselves. This strategist will determine, on each battle, how many men they want to send in. An example of how this will run:
Team A and Team B are given 150 rezzes to begin the day and each team has 20 people on it. Therefore, for each battle, they will be given the 20 men. It is up to them to decide how many rezzes to allow for each battle at the beginning. A battle is being run to determine who will win the advantage on the field for the next battle. Team A's strategist knows that this advantage will give them what they need to win the day. They put forth 75 rezes. Team B thinks the field advantage would be useful, but they could need the rezes later on for another battle they know is coming up. Team B puts forth only 25 rezes. Team A used up all 25 rezes for Team B and won only using 36 of
their rezes. Therefore, Team A has the field advantage they want, but is down to 114 rezes. Team B still had 125 rezzes.
6b. Field battles are still being determined at this time and, a few of them may even result in a team taking one of the storyline items for their own uses.
7. Banner Wars: Banner wars involve a banner each camp will have in front of it. Banners are not allowed into the camp at any times, they must always been close outside of them.
7a. If you steal someone's banner from the camp, they will no longer be able to use their camp as an instant rez point. From then on, rezzes will take 5 minutes inside your home camp.
7b. You can steal another teams banner at anytime, but when you do so, you must post it, outside your camp, next to your own banner. If your banner should be gone at the time you have another camp's banner, you cannot use their banner for instant rezzes.
7c. You must get the banner back to your camp in a timely fashion, this means do not hold the flag and go to the tavern, hide in the woods, go swimming, etc.
Amenities:
-Feast: This is still being determined, but it will be on Saturday night, and everyone who pays to get in, gets to eat at the feast.
-Real showers and Bathrooms: Hallejuah, hallejuah...
-A lake to swim in: Its summer, it will get hot.
-Centralized Location: In Southeast Kansas, as centralized to all the realms as I could find.

Estimated costs for Dark Tides
Campground Melvern Lake- $80+$36 for optional Electric campsite=$116 PAID
1000 coins for Trade- $35

Printing for programs/rules/waivers(Estimate needing 500 printings made)- $30

Feast is roughly $1.75 a person for food plan for 100 people/50 people- $175/$87.50
Total costs roughly figured at this point:
$472.50 for 50 people/ $560 for 100 people.
$10 per person for 50 people= $500. Gain of $27.50
$10 per person for 100 people=$1000. Gain of $460 . Half of which would go towards the parties, half towards next year.
We will be close to breaking even with 50 people which I believe we can very easily break. We can even break even if we plan for 100 and only have 75 show up.

Ropes, weapons scales, etc for battles(hopefully these can be borrowed)
Pens, writing utensils, staplers, etc.(I..I think I can cover that)
Heralds tabards(bring your own policy possibly in effect.)
"feastware" paper plates, cups, etc. I will look into these wholesale, heck I think I have 500 of all these left from my wedding.
Should we have only 50 attendees, there is a chance we will drop feast in favor of having a slightly better party since feast would be an overage cost. But I think we should have more than 50 interested.
